Understanding PT/OT Productivity Metrics
Visits per Hour
This metric measures how many patients a therapist sees per hour of work. It reflects scheduling efficiency and patient throughput.
Visits per Hour = Total Patient Visits ÷ Total Hours Worked
Typical Range: 0.9 - 1.3 visits per hour for most therapy practices
Units per Visit
This measures the average number of billable units generated per patient visit, reflecting treatment intensity and thoroughness. Most payers use 15-minute intervals as one unit.
Units per Visit = Total Billable Treatment Units ÷ Total Patient Visits
Typical Range: 2.5 - 4.0 units per visit (37.5 - 60 minutes of therapy)
Cancellation/No-Show Rate
This percentage measures patient adherence and identifies potential gaps in scheduling. High rates can significantly impact productivity and revenue.
Cancellation Rate % = (Cancellations + No-Shows ÷ Total Scheduled) × 100
Target Range: Below 15% is considered good; below 10% is excellent
Improving PT/OT Productivity
- Optimize Scheduling: Minimize gaps between appointments and use double-booking strategies for high cancellation times
- Implement Reminders: Use automated appointment reminders via text or email to reduce no-shows
- Group Therapy: Consider group sessions where appropriate to increase visits per hour
- Documentation Efficiency: Use templates and voice-to-text to reduce documentation time
- Billable Activity Focus: Track time spent on direct patient care vs. administrative tasks
- Cancellation Policy: Implement and enforce a clear cancellation policy with appropriate notice requirements
